Amlib Library Software: Equipment & Asset Tracking Management System

Included in the Amlib Library System is a comprehensive Equipment & Asset Tracking Management System. This is implemented by a wide range of organisations in the UK and around the world.

Circulation (Check Out, Check In & Reservations)
The Circulation module provides complete management of all loans, returns, reserves, and transfers between stock locations, together with a comprehensive history.

Items can be issued automatically and returned by scanning barcodes or using Radio Frequency Identity (RFID) technology.

The Amlib library system automatically calculates the due back dates based on hourly, daily, term, or annual loan parameters or alternatively use a specific return date.

Different loan policies can be created for each location, item & borrower type, together with a calendar of closed days for each location.

When a borrower’s id is scanned and you have the borrower’s photo, Amlib automatically displays the person’s photo for visual identification, as well as displaying current loans and item information.

To increase operator awareness the system can use different sound effects on particular events to highlight screen prompts (e.g. banned contractor).

Included in our library software is the Offline Circulation Module which enables the capture Issues & Returns on the Local PC in case of hardware or network failure.

The Amlib Self Service DIY
Module is optionally available to enable employees to self check out materials with selected security features. This can operate as a stand-alone module or in conjunction with other SIP2 compliant Self Check & Security Systems. Check out our Libray Management System Overview.

AmlibNet, for a full web browser based solution:

AmlibNet’s thin client architecture allows your Amlib Equipment & Asset Tracking modules to be hosted on a Windows 2000/2003/2008 web server. This reduces the cost of administration by no longer having to deploy applications to each desktop and allows you to control your assets from remote locations.

AmlibNet supports a huge range of web browsers.

The AmlibNet Architecture provides additional benefits by enabling extensive customisation of each screen with your own text, field labels, colours, logos and help messages.

AmlibNet can be configured across multiple web application servers for powerful system performance.

1. Item Management & Stock Take

The Amlib library software Stock Item module manages all items, equipment and assets within the database.
Existing items from an external system can be imported into Amlib, with the ability to tag items with barcodes or Radio Frequency Identity (RFID) tag technology.
Extensive parameters include item format, classification, process codes (e.g. repair, missing, etc.), item origins, loan types and floor locations.
Multiple items can be linked together and issued to a borrower using a single barcode tag. The displays of items are colour coded to provide a quick visual status of an item (e.g. green data identifies available, red data identifies overdue, black data identifies on loan, grey data identifies on order).
A report of items due for service is also generated by the Amlib library system.
The Stock Take module, available either online or using offline hand held devices, can be applied across the entire database or restricted to specific item ranges or locations.
A list of missing items can be produced in an automatic report and the status automatically changed in the item record.

2. Reports & Statistics

The Amlib library system Report Module is a flexible and comprehensive reporting module operating across all Amlib modules.
As well as output of reports to screen, printer or file, Amlib provides the facility to send via email direct to borrowers (e.g. overdue notice) using the Amlib SMTP email integration.
Reports & notices can be scheduled to automatically generate (daily, weekly, monthly) so there is no need to remember when to run!
A wide range of circulation statistics are produced including as issues, renewals, borrower visits, reservations and transfers - which can then be analysed by item type, item form, borrower type, borrower class, borrower group, branch/location, suburb, area, year, month, day and hour.

Borrower Management (Staff, Contractors, etc.)
The Amlib Borrower module provides detailed management of all borrowers, contractors and staff permitted to borrow items from the database.

Creation of different borrower types enables different validation and loan policies for different borrower categories.

Special interest profiles can be created for each borrower with the system automatically advising borrowers when new items have been received that match their profile (via email or letter).

Amlib library system provides an Import facility to import & match borrowers from Employee HR and Supplier databases together with photographic identification, expiry date and extensive contact information.

The display of borrower records are colour coded to assist with providing a quick visual status of a borrower (e.g. red data identifies money owing, grey data identifies inactive for more than 12 months).

A history of all individual loans and notices are retained on the borrower record, together with statistics on number of loans, reservations and renewals.
